Information on the Processing of Personal Data

In accordance with Art. 13(1) and (2) of the General Data Protection Regulation (GDPR) of 27 April 2016, the Jan Dlugosz University in Czestochowa hereby informs you that:

1. Data Controller

The controller of your personal data processed within the IT services is the Jan Dlugosz University in Czestochowa(Uniwersytet Humanistyczno-Przyrodniczy im. Jana Długosza w Częstochowie), located at ul. Waszyngtona 4/8, 42-200 Częstochowa, Poland.

3. Scope of Processed Data

The University processes the following user data:

  • For the "enauka" Portal, "enauka2" Portal, "cko kursy," and BigBlueButton: First name, last name, email address, USOS system ID number, and other non-required data provided by the user (e.g., image/profile picture).

  • For Microsoft 365: First name, last name, and email address.

  • For Google (GWS): First name, last name, and phone number.

4. Purposes and Legal Basis for Processing

Your data is processed for the following purposes:

  1. Implementation of the educational process via e-learning (for scheduled remote classes) based on legal provisions – the Law on Higher Education and Science and the Regulation of the Ministry of Science and Higher Education regarding studies.

  2. Enabling the use of additional services and technical support, based on the user's consent expressed by using the service (in the case of Microsoft 365 and Google Workspace for Education).

5. Data Recipients

  • University Services (enauka, enauka2, BigBlueButton): Data will not be shared with other recipients, except for entities authorized by law for control and audit purposes, legal assistance, or defense of claims, and based on data processing agreements concluded by the University.

  • External Services: Data is shared with external providers: Microsoft (Office 365, Skype) and Google (GWS).

    • Note: By creating and using an account in external services, you provide data (name, password, phone number, etc.) and all content created/received directly to these entities. These providers also collect information about your applications, browsers, and devices. They may use automated processing, including profiling, and transfer data to third countries. For Microsoft 365, the University has selected the option to process data within the EU.

6. Data Retention Period

  • Educational records (confirming learning outcomes): 3 semesters, in accordance with the Rector's Internal Order.

  • Additional services: For the duration of the user's use of the service until the account is deleted, or for the duration of the cooperation between the University and the external providers.

7. User Rights

You have the right to:

  • Access your data and receive a copy.

  • Rectify (correct) your data.

  • Restrict processing.

  • Erase data (where processing is based on consent, provided the consent is withdrawn).

  • Data portability.

  • Withdraw consent at any time (without affecting the lawfulness of processing based on consent before its withdrawal).

  • Lodge a complaint with the President of the Personal Data Protection Office (PUODO) if you believe the processing violates GDPR regulations.

8. Obligation to Provide Data

Providing personal data is a requirement for the implementation of the e-learning educational process and the use of the services. Failure to provide data will result in the inability to participate in these processes.

9. Automated Decision-Making and International Transfers

  • The University (Controller) does not process your data in an automated manner, including profiling.

  • The University does not transfer your data to third countries or international organizations (except for the external service providers mentioned in Section 5).
